Purpose of Job : The Secretary plays a vital role in ensuring the efficient administration and smooth daily operations of the Company’s head office. This role requires strong organizational skills, professionalism, and familiarity with Lebanese business regulations to support executive management and maintain effective office coordination.
Main Duties :
1. Administrative & Executive Support :
- Manage executive schedules, appointments, and meetings.
- Handle correspondence, emails, and phone calls professionally and efficiently.
- Prepare reports, presentations, and documents as required by management.
- Maintain and update filing systems, ensuring confidentiality and compliance with company policies.
- Handle Travel matters such as air-lines booking, hotel booking, insurance and transportation for internal and external Partners.
2. Office Management :
Ensure the smooth operation of the office, including ordering supplies and coordinating office maintenance.Organize and manage records, including contracts, invoices, and company documentation.Liaise with external vendors, service providers, and regulatory bodies when needed.3. Regulatory & Compliance Assistance :
Assist in preparing legal documents, business licenses, and compliance reports.Support in liaising with Lebanese governmental and regulatory authorities (e.g., Ministry of Economy, NSSF, Ministry of Finance) for administrative matters.Maintain awareness of changes in Lebanese business regulations relevant to office operations.4. Meeting Coordination & Communication :
Schedule and coordinate internal and external meetings, including preparing agendas and minutes.Communicate and follow up on action points from meetings with relevant stakeholders.Act as a point of contact between executives, employees, and external partners.5. HR & Payroll Support :
Handle HR matters such as employee documentation, attendance tracking, and payroll coordination.Help with onboarding new employees by managing necessary paperwork and office setup.6. Procurement Logistics, Retail, and E-commerce Operation Support
Assist in follow up with Suppliers orders, shipments, insurance, clearance brokers, and transportation in excellent professional manner.Receive, communicate and follow-up on Customers’ complaints or queries.Coordinate and assist in listing and pricing of the Company’s Brands’ items, and ensuring luxury digital display standards are met.Help with managing goods returns and exchanges, and updating records accordingly.Work with e-commerce logistics partners to ensure timely and accurate order fulfillment.
