Our team is fully remote and multicultural, and we work through agile practices and cost-effective service delivery.
We are looking for an Administrative Assistant to support daily operations across the company. You will coordinate shipments, track operational expenses, maintain contracts and administrative files, organise international travel and act as the main point of contact for coordination requests between departments. The role is full-time and fully remote, based in Lebanon, on a long-term consultancy basis.
Operational coordination
Track and manage domestic and international shipments to ensure on-time delivery.
Monitor operational expenses and keep financial dashboards accurate and up to date.
Process expense reports and support budget tracking.
Document management
Maintain and organise contracts, administrative files and compliance documentation.
Keep version control in order so that critical documents are accurate and easy to find.
Support document compliance in line with company standards.
Administrative support
Arrange international travel: flights, accommodation and itineraries.
Schedule meetings across departments and manage executive calendars.
Act as the first point of contact for interdepartmental coordination requests.
Process improvement
Identify ways to simplify administrative workflows and put improvements in place.
Keep accurate, current records of operational procedures.
Essential
English: strong written and spoken English (B2 or above) is essential. You will work daily with colleagues in several countries.
A Bachelor's degree in Business Administration or a related field.
At least 2 years of experience in an administrative or operations role.
Advanced skills in Microsoft Office (Excel, Word and PowerPoint).
The ability to manage competing priorities with close attention to detail.
Proven experience working effectively in a fully remote environment.
A major plus
French: a strong command of French (C1) will count heavily in your favour.
Also valued
Experience in an international business environment.
Familiarity with collaboration tools such as Microsoft Teams or Slack.
Good problem-solving skills and a proactive approach.
Clear written and verbal communication.
